In-app exchange
This is weBiller’s signature feature. When both you and your customer use weBiller, an invoice is delivered inside the app — no email attachment, no lost PDF. Your customer marks it paid, and you confirm. This page explains that loop.
If your customer isn’t on weBiller, you share a secure link instead — see Client portal. Both routes end in the same place: a confirmed payment.
Sending in-app
When you send an invoice to a client whose email matches a weBiller user you’re connected with, it’s delivered straight to their Received inbox. The invoice detail page shows the delivery status — for example Delivered in-app or Awaiting … to accept if a connection request is still pending.

The mark-paid → confirm loop
Your customer marks it paid
On their received invoice, they choose Mark as paid and enter the date, method, and an optional note. This creates a payment claim — a request for you to confirm.
The invoice shows “Awaiting confirmation”
On your side, the invoice moves to Awaiting confirmation and a banner appears with the claim.
You confirm or reject
- Confirm payment accepts the claim and moves the invoice to Paid.
- Reject returns it (you can add a note explaining why), and your customer sees it wasn’t confirmed.
Awaiting confirmation is not the same as Paid. It means your customer says they paid and you haven’t confirmed it yet. The money isn’t recorded as received until you confirm.
Receiving invoices yourself
The same inbox works in reverse. Invoices other weBiller users send you appear under Invoices → Received (and on the dashboard’s Money out cards). Open one to Download PDF, read the How to pay instructions, and Mark as paid when you’ve settled it.
Quotes work the same way: a quote sent to you appears under Quotes → Received, where you Accept or Decline and the sender is notified.
Notifications
weBiller keeps you posted through the Notifications feed (the bell in the top bar). You’ll get alerts for things like a new received invoice, a payment claim to confirm, due/overdue invoices, and a weekly summary.
- Mark all read clears the unread badge (opening the feed marks items read too).
- Tapping a notification jumps you to the relevant invoice, received invoice, or connections page.
Choose which alerts you get in Settings → Notifications.
